MINUTES OF THE DOCUMENTS & POLICY COMMITTEE
MEETING
FEBRUARY 7, 2008
Doris Buck, Chairman, called the meeting to order at 1:04
pm.
Committee members present were Doris Buck
and Gail Roth. Also present were Mike True and Bob Alger and five unit
owners.
ROLL CALL/NOTICE OF MEETING: It was announced the meeting was properly
noticed and a quorum was present.
REVIEW EXISTING POLICIES: The Committee continued
reviewing and updating existing policies that have been determined to
be Operating Procedures. There are twenty one (21) operating procedures,
of these the committee determined that four come under the purview of
the Buildings and Grounds committee and three are under the purview of
the Activities committee. These seven policies will be forwarded to the
appropriate committee for review and update. The policy for “Filing/Handling
a Complaint” and “ Policy for Limiting Outside Ornaments”
will be added to the “Eliminated” list for 2008. By proper
motion of Gail Roth all changes to the reviewed policies were unanimously
approved. The committee is continuing to work on the “Competitive
Pricing....” policy with the Finance, Buildings and Grounds and
others to develop a procurement process for Brandywine. Further research
is required before a new policy can be adopted. With proper motion by
Mrs. Buck it was unanimously approved to recommend the Board approve that
the policies:
1. All “Operating Procedures” (OP’s) listed be removed
from the current policies in the unit owner Blue Book and be established
in the Administration Office as Operating Procedures. The full text of
these Operating Procedures will be available in the Office for review
by the residents and the list of “Operating Procedures” will
be added to Current Policies in the Blue Book.
2. The list of “Eliminated” policies be deleted from current
policies in the Blue Book as they are redundant in other official documents.
ADJOURNMENT: There being no further business to be brought before the
Committee, the meeting was adjourned at 2:13 pm.
